Job brief

As a Host/Hostess of Workshop17 Tabakhuis, you’ll be the smile, heart and soul of our team’s business operations and the first point of contact for all our members. From your warm welcome to offering the ultimate coworking experience to all our Workshop17 members and guests, you’re always on your A-game and ready to take it up a notch or two. Attention to detail, oh yes. 

With proficient admin skills, you can easily update our system with leads, sales, and other needs. As the head of customer happiness, you’re service-driven, savvy, have problem-solving superpowers, and can multitask while never dropping the ball.

General scope of work: 

Reception & Hosting

• Manage the reception and front-of-house experience, ensuring members and guests receive a warm, professional welcome.
• Build genuine relationships with members, understanding their needs and preferences.
• Act as the first point of contact, assisting with enquiries, visitors, calls and general requests.
• Maintain a welcoming, polished and organised reception area and proactively assist members and guests throughout the day.

Community Management Support

• Support a smooth and welcoming member onboarding and offboarding experience.
• Conduct regular daily walkthroughs and space checks, addressing issues and identifying opportunities to improve the member experience.
• Assist with access, parking and general member queries, including support with the member platform.
• Take ownership of member requests, ensuring they are resolved or appropriately escalated and followed up.
• Support office customisation requirements, welcome packs, office setups and vinyl branding.
• Assist with community initiatives, activations, member events and ‘pre-paid’ membership top-ups.
• Proactively contribute to building strong member relationships and an engaged community.

Financial Administration 

• Maintain accurate daily payment tracking and assist with debtor follow-ups.
• Assist with purchase orders, invoices and other basic financial administration.
• Capture leads, sales information and system updates accurately and timeously.

Operations and Facilities Support

• Log maintenance issues and ensure resolution.
• Monitor space cleanliness and room setups daily.
• Manage stock levels of consumables and stationery.

Events & Meeting Room Support

• Assist with managing meeting room bookings for members and external clients.
• Support the coordination of on-site events, including catering, AV/IT requirements, and room layouts.
• Ensure meeting rooms are set up according to client specifications.

Client Experience

• Deliver a consistently warm, professional and memorable experience to members, guests and clients.
• Ensure members feel recognised, welcomed and valued.
• Anticipate needs, provide proactive solutions and take ownership of requests from start to finish.
• Handle queries and complaints with empathy and professionalism.
• Look for opportunities to exceed expectations and maintain a high standard of service, even during busy periods.

Team Support

• Provide general support to the location team.
• Assist across departments when required.
• Ensure scheduled and ad-hoc tasks are completed efficiently and on time.

Ideal Qualifications/Experience

• 2 years of experience in hospitality, front-of-house, customer service, guest relations or a similar service-focused role.
• Experience in coworking, hotels, events, restaurants, corporate hospitality or premium service environments is advantageous.
• Experience in a guest-facing role with a strong focus on service delivery.
